Welcome to Castle Wellness. By accessing our website (castlewellness.ca) or engaging with our services, you agree to be bound by these Terms and Conditions. If you do not agree with any part of these terms, please do not use our website or services.

1. Services Provided

Castle Wellness, operated by Julien Lepage, RSW, offers trauma-informed therapy, Guided Journeys, group sessions (e.g., drum circles), sound therapy, and corporate workshops, available in-person at The Castle (Calgary, AB) or via videoconference globally for non-regulated support. Services do not include formal mental health diagnoses, medication recommendations, or psychiatric assessments; referrals will be provided if needed.

2. Booking and Payment

Booking: Appointments are booked through our website using the Amelia plugin. You must provide accurate information during booking, including service preferences and demographic details for intake.

Payment: Full payment is required at checkout via Stripe (preferred), or you may request to pay via e-transfer. Rates are as follows:

  • Initial Assessment: 2 hours, $400.
  • 60-Minute Sessions: $200.
  • 90-Minute Sessions: $250.
  • Facilitated Sound Therapy Add-On (30 minutes): $100.

Reimbursement: You may submit receipts to your extended health benefits for reimbursement, but must confirm with your provider if services by a Master of Social Work are covered.

3. Cancellations and Refunds

Cancellations require at least 48 hours’ notice for a full refund. Late cancellations or no-shows will be charged the regular rate. Refunds for cancellations meeting the 48-hour requirement will be processed within 5-7 business days via the original payment method.

4. Client Responsibilities

Accuracy of Information: You agree to provide accurate and complete information during booking and intake, including health history and accessibility needs.

Participation: You are expected to arrive on time and engage respectfully in sessions, adhering to the Code of Conduct outlined in our Client Treatment Agreement.

Videoconference Requirements: For online sessions, you must ensure a private, quiet space and a secure internet connection. Castle Wellness is not responsible for technical issues on your end (e.g., internet disruptions).

5. Intellectual Property

All content on castlewellness.ca, including text, images, logos, and service descriptions, is the property of Castle Wellness and protected by Canadian copyright laws. You may not reproduce, distribute, or use this content without prior written consent, except for personal, non-commercial use (e.g., viewing service details).

6. Privacy and Data Use

Your personal information is collected, used, and protected as outlined in our Privacy Policy (link-to-privacy-policy). By using our website, you consent to the collection and use of your information in accordance with that policy, including for booking, payment processing (via Stripe), and administrative tasks (e.g., using AI tools with anonymized data).

7. Use of Third-Party Tools

Castle Wellness uses third-party tools to support our operations, including:

  • MailerLite for email communications (e.g., appointment confirmations, newsletters).
  • Stripe for secure payment processing.
  • Amelia for booking and scheduling.
  • Google Workspace for email, document management, and videoconferencing.
    These tools comply with industry-standard security and privacy protocols, and your data is shared with them only as necessary to provide our services, as outlined in our Privacy Policy.

8. Limitation of Liability

Castle Wellness and Julien Lepage, RSW, are not liable for any indirect, incidental, or consequential damages arising from your use of our website or services, including but not limited to technical issues, session interruptions, or outcomes of therapy. Services are provided “as is,” and while we strive to support your healing journey, results are not guaranteed.

9. Group Work Expectations

Group sessions, such as drum circles or therapy events, foster community healing through shared experiences. You agree to maintain confidentiality of others’ disclosures, engage respectfully, and communicate any concerns directly to Julien Lepage, RSW, ensuring a safe and supportive environment for all participants, as outlined in our Client Treatment Agreement.

10. Emergency Situations

Castle Wellness does not provide emergency services. In a mental health crisis, contact emergency services (911), the Alberta Crisis Line (1-800-784-2433), or visit your nearest hospital. A crisis plan can be developed during sessions.

11. Termination of Services

We reserve the right to terminate services if your needs exceed our scope of practice, if you violate these Terms and Conditions, or for any other reason deemed necessary. In such cases, we will provide referrals and support your transition.

12. Governing Law

These Terms and Conditions are governed by the laws of Alberta, Canada, and any disputes will be resolved in the courts of Alberta.

13. Changes to These Terms

We may update these Terms and Conditions to reflect changes in our practices or legal requirements. Updates will be posted on our website with the “Last Updated” date, and continued use of our website or services constitutes acceptance of the revised terms.
